Developing a Comprehensive Reputation Management Strategy

We already know the importance of reputation management. Establishing a proactive reputation management plan is crucial in today's digital age. Building and maintaining a positive online presence is crucial for attracting clients, fostering trust, and navigating potential challenges. You need to have a plan that is ready and waiting for use. You should anticipate the possibility of misunderstandings with clients and develop strategies for recognizing them and addressing them. It can be very frustrating and time consuming, but it must be handled ethically and professionally. Here is a guide to help you to develop a comprehensive reputation management plan, ensuring you're ready to anticipate, mitigate, and address any reputational issues.

Prepare & Mitigate (Predict / Prepare / Prevent):

  • Implement a Customer Experience Management (CEM) process to resolve any potential client relationship problems before they escalate and become a reputation management issue.
  • Designate a reputation manager, an individual responsible for overseeing the firm’s reputation management efforts, ensuring consistency and strategic direction.
  • Establish firm policies – create clear guidelines for usage, response, and training for – social media, website, public relations, employee conduct, etc. This provides a framework for decision-making and minimizes risk.
  • Conduct regular risk assessments to identify and address potential reputational threats before they occur. Develop contingency plans to address them before they materialize.
  • Develop a Crisis Management Plan (emergency response protocols) for events like negative media. This ensures quick and effective action to minimize potential damage to reputation.

Track & Monitor (You cannot improve something you are not tracking):

  • Implement online monitoring utilizing tools like Google Alerts, Social Mention, SEMRush, Moz, HootSuite, ReviewPush, TweetBeep, and Technorati to actively track online mentions of the firm, employees and relevant keywords. The reputation manager must constantly monitor and search (crawl) the online, social media and the news outlets for mentions on your brand – search for your name, company, brand(s), product(s), employees, and anything pertinent that could impact your reputation.

Review & Interpret:

  • Review the results collected and try to interpret the true meaning. Are the reviews or comments positive or negative? Does the review or comment affect branding, firm personnel, or the legal industry? Determine accuracy, relevance, and the priority for addressing each matter. Consider categorizing them by theme, severity, and urgency.

Response & Action (Communication and Follow-up):

  • Remember, it is your responsibility to make your actions comply with your state’s Bar Association Advertising Rules and Regulations or the American Bar Association (ABA) Model Rules of Professional Conduct. If you are unsure how to handle, contact your Bar Association.
  • Using Customer Relationship Management (CRM) software such as SalesForce, ClickUp, Hubspot, etc., to track and manage client interactions can help you to identify and respond to potential problems more quickly and efficiently.
  • Review the findings with appropriate team members to devise an appropriate response for each situation.
  • Develop your response plan or enact your appropriate crisis management plan based on the situation – will you be reactive or proactive.

Building a strong reputation takes time and consistent effort. By implementing a proactive approach, you can harness the power of online feedback, build trust with clients, and position your firm for sustained success.
